Using GRMS as a receptionist

There are two ways how to use the guest room management system:

  • integrated with Fidelio/Protel or
  • as a standalone solution.

Integrated with Fidelio/Protel

If hotel rooms are automatically generated from Fidelio or Protel, check-in and check-out actions shall be performed within your hotel management software directly. Live data about the check in/out-status and the guest name and language can be synchronized via server items to the GRMS. A login into the Web Manager is needed only for printing the QR code, which enables the hotel guest to open the room visualization.

Standalone

Check-in

Without a hotel management system like Fidelio or Protel, the receptionist can check-in or check-out guests in the GRMS Web Manager application.

On check-in, the guest name and language can be entered. The latter will be provided as workspace variable in the visualization project in order to customize the user experience.

This enables hotels to offer a localized and personalized hotel room visualization like in the following example.

Connect to visualization using a QR code

After check-in, the GRMS app displays a QR code, which is a reference to the NETx Vision app and the configuration profile for the selected guest room. Click on the QR code to print a hardcopy of the QR code for the hotel guest.

Then the hotel guest uses a QR code scanner app on an Android or iOS mobile device. If not already installed, the guest will be redirected to the Google Play Store or Apple App Store for installation.

Once the NETx Vision app is opened through the QR code, the configuration profile is automatically installed and the visualization started.

Check-out

After check-out the generated visualization profile is invalidated and the hotel guest will no longer be able to open the hotel room visualization.
